All Users


1. Am I required to do the training on this Site?

Each organization sets its own training requirements. If you are not sure whether you are required to complete training, please contact the Site Administrator for your organization. To find the name of your Site Administrator:

  • Select My Workplace;
  • Click Directory, and you will see the name of your Site Administrator listed in red.

2. How do I access my online training assignment?

  • Select Training on the orange menu bar to see the lessons assigned to you and their due dates.
  • Click the link for the lesson you wish to take.

Please note that each training module has several lessons that should be done in order.

3. What if I have a question about the training material?

You can submit a question to the trainer by clicking the Ask the Trainer link found at the bottom of each training screen.

4. How can I change my password?

  • Click Control Panel on the orange menu bar;
  • Click My Info; and
  • Change your password and password clue and click Submit.


Site Administrators


1. How do I add other users to the Site?

There are two ways to add users:

Recruit new users via email:

  • Click Control Panel;
  • Select Users below Control Panel;
  • Click Recruit New Users;
  • Fill in the email addresses of recruitees with a comma between each address;
  • Add your own comments under Additional Message; and
  • Click Submit to send the emails.
Add new users:
  • Click Add/Edit Approved Users;
  • Click Add New User;
  • Fill out the New User form (required fields are indicated by *);
  • Click Submit to complete the registration; and
  • Give the new user his/her user name and password.

You can also upload a group of users via a spreadsheet found on the Site:

  • Follow the steps for adding new users individually;
  • After clicking Add New User, select Import Multiple Users; and
  • Download the starter spreadsheet and enter your data. (Please note that a username must be unique across the entire site. For this reason, an individual email address is a good choice for the username.)
  • On the Import User page, upload your completed spreadsheet.
  • Select a user profile for the entire group of users. If you have users who need different profiles, create a separate spreadsheet for each profile type. If you would like to create a custom user profile, please contact Tech Support.
  • Click Submit to upload your users onto the Site.

2. What do the user profiles mean?

This site offers 3 user profiles that control what a user will see on the site.

  • Default Site Administrator - The person who registers an organization on the site automatically becomes its Default Site Administrator and has an expanded Control Panel that allows him or her to add new users, change training assignments, adjust training notices, etc. This person is often the Superintendent or the Business Administrator or the Human Resources Director. The Default Site Administrator can create additional administrators if needed.
  • Administrative Personnel - This profile is intended for those who manage other employees, such as principals, assistant principals, department heads and other supervisors. All training modules are assigned to this profile by default, and these users have access to HR materials in the Knowledge Vault.
  • Faculty/Staff - This profile assigns only the Promoting Child Safe Environments training module and does not have access to HR materials in the Knowledge Vault.

The Default Site Administrator can also request assistance in creating customized profiles if desired by contacting Tech Support.

3. How do I assign training to my users?

The system automatically assigns training to every user according to his user profile. (See #2 for explanation of user profiles.) The trainee can see his/her training assignment by signing on the Site and clicking the Training tab.

4. Can I change the training assignments?

Yes, each Site Administrator can adjust the training assignments for his/her users. To do this:

  • Click Control Panel;
  • Click Training below the Control Panel; and
  • Select Training Settings.
  • If you do not wish to use a set of lessons or bulletins, simply uncheck them.
  • To change the due date, select the desired length of time from the drop-down.
  • When the settings reflect your preferences, click Submit to register these choices on the system.

5. How do I adjust or turn off training reminders for my users?

  • Click Control Panel;
  • Click Training under Control Panel;
  • Select Adjust Training Notices;
  • Uncheck any notice you do not want; and
  • Click Submit to record your choices.

6. How do I access the training records of my users?

  • Click Control Panel;
  • Click Training under the Control Panel; and
  • Select Reports.
  • To see an individual’s detailed record, simply click on that person.

7. How do I upload material into My Workplace?

Site Administrators can upload material to display to their employees under My Workplace. To add an event to the calendar or upload documents, such as your Employee Handbook:

  • Click Control Panel;
  • Click My Workplace under Control Panel; and
  • Choose the item you wish to upload.
  • Follow the directions and click Submit.

8. Where do I find the Model Forms and Model Policies?

The Model Forms and Model Policies are stored in the Knowledge Vault.

9. How do I ask additional questions?

Use the Tech Support link on the top men bar and submit your question. A customer service representative will reply promptly.
